Planning Your Wedding Timeline

If you’re feeling overwhelmed with all the unknowns, that’s totally normal. I’m here to guide you through the process and help you make informed decisions.

From getting what you’ve always dreamed of, to creating the perfect wedding timeline, to maximizing your photography and videography investment, there’s a lot to consider.

A well-planned wedding timeline is key to a smooth and successful wedding day. I’ve seen poorly planned timelines ruin weddings, and strategic timelines save the day when unexpected emergencies arise. So if you want to focus your energy on one thing during the planning process, make it the wedding timeline. It will have the greatest impact on your special day.

Sample Wedding Timeline

This wedding timeline is based on my 13 years of experience, and assumes a 6:00pm ceremony with a First Look as 90% of my couples opt for a first look. Wondering what a First Look entails? You can find out more in the following paragraphs!

Keep in mind that your special day is unique, and your wedding timeline may vary depending on ceremony start time, travel and other individual factors.

2:00 Bridal Details

Bridal details tell a significant part of the story and sets the tone for the rest of the day. With that in mind, I allocate 30-40 minutes for capturing shots of the beautiful dress, shoes, jewelry, and invitations.

Every Little Detail

It all starts with the details! I can’t help but get excited about this part of the day. It’s my chance to get creative and set the tone for the rest of your special day. I carefully capture every detail, from the bride’s gown to the jewelry to even grandma’s treasured handkerchief, all in a way that reflects the overall style of your wedding. After all, the details are what bring the entire event together. To make sure we have plenty of time for this important aspect, I ask brides to gather all their details before my arrival. That way, I can give you a warm welcome, a big hug, and get right to work capturing every special touch.

2:40 Bridal Prep + Groom Prep

As I focus on the details, I also seize the opportunity to capture special moments of the bride and her girls getting ready. If you want a group photo in your matching pajamas or robes, I’ll grab those pics right after I’m finished with details.

Then comes the moment you’ve been waiting for – putting on your wedding gown! To capture this special moment, I recommend having the mother of the bride and bridesmaids dressed before the bride gets into her dress. This ensures picture-perfect images of everyone.

Once the bride is ready, it’s time to add the finishing touches – jewelry, veil, and shoes. These bridal prep photos are often some of the most sentimental moments captured on your wedding day.

My second shooter will photograph the boys during this time, as it takes them less time to get dressed. This way, every important detail and precious moment is beautifully documented for you to cherish forever.

3:15 First Look(s)

One of the most special moments of your entire wedding experience! I will scout out the ideal location. I’ll make sure you have a beautiful backdrop, privacy, and the best natural light. If you’re planning more than one First Look, such as one with your dad or bridesmaids, we’ll do that right before your First Look with your groom.

3:45 Couples Portraits + Individual Bride and Groom Portraits

As you bask in the blissful moments of your First Look, I’ll capture some intimate and romantic portraits of you together as well as a few individual photos. I will scout out the perfect locations for these shots, taking into consideration the lighting. Since the light plays a major role in our photo shoot, the portrait locations will be decided on the day of the wedding. As we capture these portraits, the bridal party can make their way to us for wedding party portraits.

Note: I highly recommend brides schedule a separate bridal session with me a few months before your wedding day. This allows us to capture some incredible photos of you in your gown without any pressure or wedding timeline rush. Plus, it gives you a much-needed opportunity to make sure your gown wears well and moves well, not to mention a trial run for your hair and makeup.

4:15 Bridal Party Portraits

Get ready for some fun Bridal Party photos with all your besties! To ensure we stay on schedule for the portraits, we recommend designating someone to put the boutonnieres on the groomsmen before they arrive for photos. During this time, my second shooter and I will take shots of the ladies and gents, both individually and together.

4:45 Family Portraits

I recommend this time be used to capture immediate family plus grandparents. This includes parents, siblings, and grandparents on both the bride’s and groom’s side. I do not recommend having extended family such as aunts, uncles, and cousins during this time. The more people you have during this time, the more chaotic it will seem, and we want you as relaxed as possible. We can capture extended family after the ceremony or during the reception.

About a month before your big day, I’ll send you a questionnaire to help me capture all the important family groupings. A few sections further down in this post, you’ll see a sample list of family formals that you can use to start preparing.

Once the family portraits are done, we’ll make sure you have your moment to shine by hiding you away from guests who will be beginning to arrive.

5:15 Ceremony Details (Bride is in hiding 😉

Just before guests begin to arrive, I will capture all the beautiful details of the ceremony space along with wide room shots so you’ll be able to look back on how stunning it all looked. During this time, the bride and groom are tucked away. This is your time to sit down for a few minutes, touch up your hair and makeup, and enjoy some peace before the festivities continue.

5:30 Reception Details

If your ceremony and reception are being held at the same location, I highly recommend taking advantage of this time to capture stunning shots of your reception decor – untouched and in all its glory. This will add a unique touch to your wedding album.

However, if your ceremony and reception are set in different locations, I suggest having a cocktail hour outside of the main reception area, if possible. This will allow me to capture beautiful photos of the reception before the festivities begin and guests start placing their belongings on their seats.

6:00 Ceremony

It’s time to get married! Most ceremonies typically last about 30 minutes. However, if you have something special planned that may extend the ceremony, we will make the necessary adjustments to ensure a smooth wedding timeline. Remember, these moments are precious and will pass by in the blink of an eye, so cherish each and every one of them during your ceremony.

6:40 Family Portraits, Cocktail Hour

Extended family formals typically occur right after the ceremony, ensuring that all family members are present. If you don’t want large family portraits taken after the ceremony, because you’d rather get straight to cocktail hour with your guests – that’s completely fine, too! More and more couples are opting to forgo extended family photos, and instead opting to take photos with their parents, siblings, and grandparents only during the 4:45 Family Portrait time.

If you still want extended family photos, some couples have decided to do family groupings during the reception in a more casual way without a strict timeline. It’s totally up to you!

If you choose to do extended family portraits, plan for 20 minutes. I’ll send you a questionnaire beforehand so you can list out your must-have groupings. For a natural and timeless look, I suggest taking outdoor portraits, especially if your ceremony venue is dimly lit.

7:00 Just Married Portraits

As a bride, you deserve to look your best in every photo. And the best time for those picture-perfect portraits? When the sun casts a glowy, golden light, it creates a stunning backdrop for your “Just Married” portraits. The perfect timing will vary based on the month, but even if it’s not exactly “golden hour,” the light is still prime anytime during the two hours before sunset. While we’ll take all the time we can get, we only need 20-30 minutes to capture some amazing photos. These photos will be ones you’ll treasure forever.

7:30 Reception Begins

The moment you’ve been waiting for has arrived – it’s time for the bridal party to line up and for the festivities to kick off! As the sun sets, my wedding timeline becomes more flexible, allowing for a natural flow of events. With the portrait session complete, it’s time for me to shift my focus to the reception.

As a bride, you deserve to have every special moment of your wedding day captured in stunning detail. That’s why I offer a minimum of 8 hours of coverage, ensuring that I am present for all the main events of your reception, including at least an hour of dancing.

But what about the exit? You may be wondering about the best way to have this memorable moment photographed. Don’t worry, I’ve got you covered. You have the option to extend coverage for your exit, or you can plan a “Aisle Exit” at the end of your Ceremony instead.

An Aisle Exit is when your guests have something at their seats to throw as you exit down the aisle after your “kiss the bride” moment! Rose petals, biodegradable confetti, or bubbles are all great ideas for an aisle exit.

10:30 The Grand Exit

Let’s send you off in style! We capture all the rowdy fun as your guests cheer you on to happily ever after. Getaway cars are super popular for exits, as well as cold spark fountains.

How the Seasons Affect Your Wedding Timeline

Winter Weddings

The stunning backdrops and cozy atmosphere of a winter wedding are truly unbeatable. However, with the sun setting as early as 4pm, some additional planning is necessary. Don’t worry, with a few tips and tricks, you can ensure your special day runs smoothly.

One major consideration for a winter wedding is the timing. With the sun setting so early, it’s important to plan your portraits accordingly. If you’re having a late afternoon ceremony, make sure to schedule your portraits before 4pm to capture the beautiful natural light. On the other hand, if you’re planning on a late evening ceremony, you may have some downtime between 4pm and the start of the ceremony. Consider incorporating a cocktail hour or other activities to keep your guests entertained during this gap.

With the shorter daylight hours, you may need to extend your photography coverage to ensure all the special moments are captured. We can discuss this together and plan accordingly to avoid any rushed or missed shots.

Spring Weddings

Spring weddings are a bride’s dream – the perfect temperature, blooming trees and plants in the background, and beautiful portraits to capture it all. But it’s good to be prepared just in case of inclement weather. Have a backup plan in place for rain. Your wedding planner will have the best tips for creating a Plan B for your outdoor plans.

Summer Weddings

Summer weddings are a dream come true for any bride. Aside from the beautiful weather and warm atmosphere, one of the perks that often goes unnoticed is the abundance of natural daylight. With the sun setting as late as 8:30pm, there is plenty of time to capture stunning, glowy, sunset portraits. The light during this time of day is simply unbeatable, making for the most breathtaking wedding photos. Don’t worry about stepping away from the reception for a few minutes to take these photos – they often coincide with dinner or open dancing, so you won’t even be missed.

Fall Weddings

Fall weddings are magical. The crisp, cool temperature and vibrant autumn colors create the perfect backdrop. As a seasoned expert in wedding editing, I understand that choosing the right color palette is a top concern for fall brides. But fear not – all it takes is one tree with a touch of color to infuse your special day with the essence of fall. A little goes a long way! Keep in mind, the timing of your portrait session and availability of fall colors will vary depending on your wedding date.

Pre-Ceremony

It’s time to hand over those last minute tasks to someone else and fully embrace the joy and excitement of the day. Delegation is key to a stress-free wedding day, so don’t hesitate to entrust others with the decorating and organizing duties.

Window Light is Key

Never underestimate the impact a simple window in your bridal prep area can have on your photographs. Soft, natural light can create beautiful portraits that you will love. However, if your getting-ready area lacks windows, don’t worry. I’ll work my magic and capture faux “getting dressed” shots in a location on the property with access to natural light. Trust me, it’s a necessity! But don’t worry, if you have no control over your bridal suite location, I’ll still ensure that your detail shots and getting-in-the-dress shots are captured in natural light.

Wedding Timeline Cushion

Pro Tip! As you plan your perfect wedding timeline, let me share with you the most valuable advice I can give: always allow for some cushion time. Trust me, even the smallest tasks can unexpectedly eat up a chunk of your morning. I’ve witnessed brides struggle for an hour with a dress malfunction! By adding a mere ten minutes here and there throughout your schedule, you’ll have some wiggle room to handle any delays that may arise. As your wedding day flies by, there are countless details to consider. To help ease the pre-ceremony chaos, here are some essential tips for your wedding timeline. Keep in mind that each wedding is unique, so not all of these suggestions may apply to your specific schedule. And don’t stress if not everything goes exactly as planned – it’s completely normal!

Wedding Timeline Tips

  • Bouquet and Boutonniere – You will need your bouquet & boutonniere for your First Look! Have them delivered to the room where the bride is getting ready.
  • Travel Time – Be sure to think about the travel time and traffic to and from your getting ready location and your venue!
  • Hair and Makeup – I encourage brides to have at least their makeup done before I start because who wants a ton of shots without their makeup on?!
  • Groomsmen Prep – My second shooter will photograph the guys getting ready if they are getting ready in the same location as the bride. If they are not in the same location, we’ll need to plan for this travel time in the wedding timeline.

Your First Look

A First Look is a romantic and stress-reducing addition your wedding day. If you’re on the fence, here are a few reasons why I recommend a first look. Not only does it add to the overall experience, but it also helps alleviate stress. I understand that every couple has their own unique vision for their big day, and I would never pressure you into making a decision that doesn’t feel right to you. However, I want to make sure you’re aware of all the benefits a first look can bring, because 90% of our couples choose this option and absolutely love it!

For many engaged couples, the idea of a non-traditional wedding can seem daunting. They may worry about how others will react or whether it will live up to their expectations. But here’s the thing – non-traditional doesn’t mean sacrificing tradition or sentimentality. In fact, my husband and I found a way to have the best of both worlds. We shared a private “First Look” moment before our wedding ceremony, and he still couldn’t contain his tears as I walked down the aisle. It was a moment that will forever be etched in my memory.

So, I urge you to consider thinking outside the box when it comes to your special day. Don’t let the fear of non-traditional hold you back. Instead, embrace the opportunity to create a truly unique and unforgettable experience. It will only add to the magic and reduce the stress of your wedding day.

Imagine for a Moment

As the clock ticks closer to the ceremony, the groom’s nerves start to kick in. Gone are the carefree moments spent on the golf course earlier in the day. Instead, he finds himself restlessly waiting in a small room, anxiously anticipating his cue from the coordinator. The minutes seem to drag on endlessly before the coordinator appears, urging him to get ready.

With clammy hands and a racing heart, the groom steps into the ceremony space. And what does he see? A sea of 100 to 300 eager faces, fixated on him with high expectations and excitement. This is hardly a private, intimate moment. While undeniably powerful and unforgettable, it can also feel overwhelming and pressured. But here’s the thing – it doesn’t have to be this way.

Results in Better Photos + Videos

Having a First Look gives you a more naturally fluid wedding timeline. You aren’t in a time crunch to cram it all in after the ceremony, which can take a lot of time away from your reception. Immediately after your First Look, we can casually move into your romantic portraits. No one is around, the coordinator isn’t announcing “15 minutes left”, and there is no pressure. It’s just the two of you and your photo + video team…capturing the excitement and the joy of your wedding day.

This is your time to be TOGETHER…and to be ALONE. When does that happen on a wedding day? Without a First Look, it doesn’t happen. After their romantic portraits are done, you’ll meet up with your bridal party for group photos. They’re FUN, because there is time to make them FUN. There aren’t any guests waiting impatiently at the cocktail hour and there isn’t a DJ coming to find the photographer to get a time check. It’s the best feeling – so relaxed and memorable!

In my experience, your wedding day just goes more smoothly with a First Look – BUT, for couples not interested in a First Look, I’ll still back your decision 100%! A Closer Look at The Ceremony

The moment you’ve been awaiting is finally here. The music is playing, the guests are taking their seats, and the big moment is finally here. As the coordinator lines up the bridesmaids and gives the musicians a 5-minute warning, the bride is preparing to walk down the aisle to the love of her life. It’s a dream come true for many girls who have long imagined this special moment. And at the heart of it all? The exchange of vows and promises that make this day truly meaningful.

Picture this: You’re in my shoes, about to document the most momentous part of the day. You’ve meticulously checked your camera settings and taken test shots, ready to capture every reaction and angle as the bride makes her way down the aisle to her groom. But just as the music starts and everyone stands up, not one, but three overeager family members and friends step into the aisle with their phones, trying to capture the moment for themselves.

Is There A Solution?

Suddenly, I’m scrambling and my couple is trusting me not to miss a single second of their special day. As I frantically dodge guests’ outstretched arms and obstructive devices, trying to capture the bride and her father’s emotional walk, I can’t help but feel a deep sense of frustration and even fear. Sadly, this all-too-common scenario is becoming increasingly prevalent. Yet, there is a simple solution: the “Unplugged Ceremony.” This means kindly asking your guests to put away their phones and cameras and simply be present to fully enjoy the ceremony. It’s a small request that can make a world of difference in preserving the magic of your wedding day.

How to Inform Guests of an “Unplugged Ceremony”

  • 1. Signage: Have a simple sign that guests see as they are entering the ceremony
  • 2. Spoken: Have your officiant politely mention that you prefer no cell phones
  • 3. Program: Include your Unplugged Ceremony request in your program design
  • 4. All Three: If you really want to make sure that this request is honored, do all three!

Ceremony Lighting

Ceremony lighting is very important. If you get married outdoors at 12pm, the lighting will be extremely harsh and not only will there be harsh lines of light on your faces, but you will also be squinting. I suggest planning an outdoor ceremony around 2 hours before sunset if you are having a First Look. If you are not interested in sharing a First Look, then I would suggest having your ceremony 3 hours before sunset to ensure that you will have plenty of time for all of your portraits afterward. The lower the sun, the more romantic and glowy the lighting – but keep in mind the direction you’re both facing – no one wants sun in their eyes. If you are having an indoor ceremony and there is an option to have spotlight-style lights on the bride and groom, I would recommend declining. It is always best to have EVEN lighting at the altar.

Coordination

If you’re an engaged, you know planning a wedding can be overwhelming and stressful. That’s why hiring a full event planner or a day-of coordinator can make a huge difference. Without someone to handle the coordination, the responsibility often falls on the mother of the bride, the photographer, or even the bride herself. This can lead to a less-than-perfect day and even impact the quality of your wedding photos. Lack of organization and coordination can create a lot of stressful situations. So make it a priority to have someone dedicated to keeping everything on track, including your wedding timeline. Family Formal Photos

Family is everything. I cherish the opportunity to meet all your loved ones. My first encounter with the full group of family is usually during the family formal photoshoot, and I always like to have a solid plan in place for it! About eight weeks before your big day, I’ll send you a questionnaire to help me capture all the important shots. To give you an idea, here’s a sample list of family formals that you can use to start preparing. While we do have to limit the time for family formals to ensure we have enough daylight for your romantic portraits, any large family group shots that we miss can always be captured during the reception.

Romantic Portraits

All wedding day photos are important, but the romantic portraits of just the two of you are often my couple’s most favorite of all. These are the ones you’ll proudly display in your home and cherish for generations to come.

Typically taken before the ceremony (after the much-anticipated “First Look”), these romantic portraits capture the pure joy and connection between you and your soon-to-be spouse. And don’t worry – we can also sneak in some post-ceremony shots with the dreamy, golden light as a backdrop. If you prefer to forgo the First Look, we’ll ensure that there’s plenty of time after the ceremony for these special moments.

What If It Rains?

I know, it’s NOT something you want to think about. Just in case it happens, I want you to know you’re in good hands. If it happens, don’t stress – I’ll make sure your images are still gorgeous. Here are some tips to remember:

  • With just one porch or tent, I can create stunning natural light portraits. It’s incredible how much variety can be captured in a pinch.
  • If a shower does come our way, I’m prepared to be flexible with the timeline to make sure we capture stunning portraits during a break in the drizzle.
  • Focus on one step at a time and trust in your rain plan for the venue. If the forecast calls for rain, remember that your vendors are experts in handling unexpected changes and will ensure your day is still perfect.

Your Bridal Party

Let’s talk about your bridal party! I understand how important it is for you to make sure your closest friends have an unforgettable time on your big day. That’s why I’ll ensure they have a blast during your bridal party portraits. With my experience, we’ll be able to quickly capture stunning photos of your entire bridal party before the ceremony even begins. This means your bridesmaids and groomsmen can join in on the fun at cocktail hour afterwards. And if you have little ones in your party, they can either join us for photos beforehand or we can snap a final group shot after the ceremony. Just make sure your groomsmen have their boutonnieres and your bridesmaids have their bouquets when they arrive. Let’s make your bridal party portraits a truly enjoyable and stress-free experience!

Reception Details

The party is here and it’s going to be a blast! But for the perfect reception, it’s crucial to have a well-thought-out plan. Hiring an experienced planner or coordinator is my best advice. I’ll work alongside your planner in the months leading up to your wedding day to make sure your reception wedding timeline is optimized.

The last thing you need to be worrying about is your timeline. On the day of your wedding, your planner/coordinator and DJ should take care of making sure that everything stays on schedule so that you can enjoy your night. Here are some tips that will help your reception flow smoothly.

Reception Tips

  • Guest consideration – When creating your wedding timeline, it’s important to keep your guests in mind. This is especially crucial if you have elderly guests who may not be able to stay for the entire reception. For example, to ensure that everyone can be a part of it, schedule the cake cutting relatively early in the evening. Grandmas will absolutely adore being a part of this sweet tradition!
  • Make it your own – If you want to have a special dance with your grandparents, do it! Make your reception a reflection of who you are and don’t feel tied to traditions. Also, make sure you give your DJ or Band a “Do Not Play” list if there are some songs you really don’t want to hear during your reception!
  • Give yourself some unstructured time – Your entire day has been scheduled tightly, so give yourself time to just relax, mingle with your guests, and dance!
  • Reception coverage – If you haven’t purchased enough coverage time to last until the exit, that’s ok! We have several options. I recommend planning your timeline so that you can have at least one hour of dancing photographed. The guests who dance during the first hour will still be dancing in the third hour! One hour of dancing will be enough time to really capture the joy of your reception!

Within 48 hours of your wedding day, I’ll send you a BIG Sneak Peek gallery with dozens of the best photos from throughout the day. My couples love this fun surprise! Feel free to post them online, or share them with family and friends right away. I’ll get right to work editing the rest of your gallery, and you’ll receive your full wedding gallery no later than 6-8 weeks later – and often much sooner!

Downloading Photos

With your online gallery, you can not only view your images but easily download and share them. We believe that your special moments should be yours to treasure and share freely, which is why all of your high-resolution images will be available for download.

Accessing Your Photos On Your Phone

Ordering Prints

Did you know that you can easily order professional-quality prints directly from your online gallery? You can print them yourself, but I would warn you against options like Walmart or Walgreens, which may not be calibrated correctly for quality. Our professional lab ensures accurate color and contrast, offering print sizes from 4×6 and up, as well as beautiful heirloom albums designed to your specifications, delivered right to your doorstep.

Gallery Expiration

Great news! Your gallery will be accessible for a full year. While that may sound like plenty of time, I highly recommend downloading and saving your beautiful images in multiple secure locations as soon as possible. As wonderful as the internet is, it’s always wise to have a backup plan in case of technical mishaps. So, make sure to not rely solely on your online gallery for permanent storage. I suggest keeping your images safe on a solid state, portable hard drive for a reliable physical copy. And for added peace of mind, consider using a reputable online backup system like as a secondary backup option. Your memories are worth the extra precautions!
